Committee members meeting minutes

All,
We had first VSNA-TX committee members meeting after the election of 2007 on 05/19/2007. Following items were proposed and committee members agreed on few items and few items still need committee members vote as this list got updated with few more items. I request you to go through the list and provide your feedback if you disagree with any of the ideas mentioned below. Also add any thing that I missed or if you have one. With all your support hopefully we will implement at list few of them in upcoming event. Please provide your feedback on TBD items. Some of the ongoing items need to be decided by the committee members in upcoming meeting.

I was going through the VSNA’s website and learned that Texas chapter was founded in 1987. With respect to that this is the 20th year and we need recognize it in one of the upcoming event.

Implementing processes for:
1. Election: Need to form three members election committee which will not include current active committee members. A notice of election should be sent minimum 30 day ahead of time with proposed candidates. Election can be held on specific event or day or by mail ballot. - ongoing
2. Roles hand over: There should be meeting including old and newly elected committee members to hand over the roles and responsibilities, soon after the election until then old committee members should continue handling the roles.- ongoing
3. Roles and responsibility: Follow the VSNA bylaws.
4. Financial report to members: Provide financial report to members on specific event every year on Mahashivarathri or Diwali- TBD
5. Try to find volunteers for organizing each event at least 30 days in advance and provide a weeks time to volunteer before picking on people – Event coordinator
6. Decide on yearly events dates in advance as we did for this year.- on going
7. Conduct committee members meet at least three times a year - ongoing

Ideals for Fund raising:

1. Collect donations for every puja or festival by keeping a donation collection container in the puja place. Donations are totally voluntary - Treasurer
2. sell lemonade or some items made by the members or associate members (children of members) and donate some percentage to VSNA Texas chapter - Treasurer/event coordinator
3. Some time charge minimum for the food for members but more for non members or one event in each year that drives fund rising – to help support better programs - Treasurer/event coordinator

Ideas for youth:

1. Try to engage elder youth to teach kids 5 years and up, topics may include about India , Karnataka, their native place or parent’s native place, Kannada learning etc- TBD
2. Also try to keep them engaged by doing festival related activities – Event coordinator
3. Identify the talent and achievements - President
4. Allow them to take certain responsibly for the events hence we make sure that their parents can continue there participation – Event coordinator

Ideas for VSNA-TX identity:

1. Try to collect donations from members by keeping the list of things that VSNA-TX chapter need, such as Basaveshwar picture, table cloth, Basaveshwar movie, books. Devotional songs CDs, puja related items. -Avinash
2. Identify the person responsible for maintaining assets of the VSNA-TX - TBD
3. These collection items can be borrowed by the members - ongoing
4. Try to speak in Kannada and greet each other by Sharanu - ongoing
5. Start every event with linga pooja, Also pick and talk about a vachana for 10 to 15 minutes. This can be hosted by different volunteer in each event - ongoing
6. Try to add the event details on eknazar.com’s event calendar and list VSNA on eknazar’s Organizations -> Cultural listing to provide awareness of VSNA-TX - Savita
7. Identify the member that introduced new member and donations - President
8. Identify the talent and exchange goals and ask for ideas from the members for next event in the previous event - President
9. Add chanting of vachanas in MKNT events - Mamatha
10. Include former president as appointed Board of director or advisory committee member and include in all of the meetings and mail - ongoing

List of assets for VSNA-TX chapter

Dear Members,

VSNA-TX chapter would like to collect following assets as donations from the members in the hope of building its own identity and also to help to serve better program especially for the young sharanas (childern of the members). Donations are totally voluntary. If you feel that we are missing out some items that are useful or add value, feel free to send your suggestions. List also specifies the quantity but it does not mean single donor has to provide the quantity specified. If you are willing to donate any item please respond to this mail so that no other member donates the same item.
